Collect Fees
Use fee collection when a parent or student pays against an assigned fee.
Step-by-step guide
- Go to Fees & Finance > Fee Payments.
- Select Collect Payment.
- Search by student name, admission number, class, or fee.
- Choose the fee assignment with remaining balance.
- Select Continue.
- Enter payment amount.
- Choose payment date.
- Choose payment mode: Cash, Card, Bank Transfer, UPI, Cheque, or Online.
- Add remarks if needed.
- Confirm payment.
- Download receipt from the payments list if needed.
What SmartAcademy does in the background
The backend locks the assignment during collection, prevents overpayment, creates a fee transaction, generates a receipt number, updates paid and due amounts, updates assignment status, and records the collection action.
Tips
- Use remarks for cheque numbers, UPI references, or special notes.
- Do not collect more than the remaining balance; SmartAcademy blocks overpayments.
